Annotator, Vendor & Platform User Privacy Policy

Applicable to: Freelance Annotators, AI Trainers, Vendor Partners & Platform Registrants

1. INTRODUCTION

SIGNALCORE AI PRIVATE LIMITED (operating as AI Signal Lab), CIN U62099UW2026PTC251815, registered at 1005, 10th Floor, Tower 17, Paras Tierea, Noida Sector 137, Noida – 201305, Uttar Pradesh, India ("Company", "we", "us"), is committed to protecting the privacy and personal data of all annotators, AI trainers, and individuals who register on or interact with our platform at aisignallab.com (the "Platform").

This Privacy Policy explains how we collect, use, store, share, and protect your personal data in accordance with the Digital Personal Data Protection Act (DPDP), 2023, the Information Technology Act, 2000, and the IT (Reasonable Security Practices and Procedures and Sensitive Personal Data or Information) Rules, 2011 ("SPDI Rules"). Please read this policy carefully before registering on our Platform.

2. WHO THIS POLICY APPLIES TO

This policy applies to:

  • All individuals who register on the Platform as freelance annotators or AI trainers;
  • All individuals who complete assessments, tasks, or annotation work on or through the Platform;
  • Vendor Partners: All vendor organisations, agencies, or capacity partners who register on the Platform to provide annotator pools or related services ("Vendors"), and the individual signatories, authorised representatives, and contact persons of such Vendors, whose personal data (name, contact details, PAN, bank account) is processed by the Company in connection with the Vendor relationship;
  • All individuals who communicate with us via email, phone, or any other channel in connection with annotator or Vendor onboarding or work.

Note: Where a Vendor sources individual annotators on its own behalf, the Vendor is independently responsible for obtaining equivalent privacy consent from such individuals prior to deployment, as set out in the applicable Consulting Services Agreement.

3. PERSONAL DATA WE COLLECT

Note: We do not collect biometric data. Aadhaar is collected solely for identity verification and tax compliance and is processed in accordance with the Aadhaar (Targeted Delivery of Financial and Other Subsidies, Benefits and Services) Act, 2016.

4. HOW WE COLLECT YOUR DATA

We collect your personal data through the following channels:

  • Registration Form: When you register on aisignallab.com/register or submit a Google Form application.
  • Assessment Platform: When you complete the CEFR / IPE online assessment, including English comprehension, attention-to-detail, and sample annotation tasks.
  • Task Completion: When you perform annotation, labeling, transcription, or evaluation tasks on the Platform.
  • Communications: When you contact us via email (hiring@aisignallab.com or contact@aisignallab.com), WhatsApp, or phone.
  • Third-Party Referrals: When you are referred by an NGO partner, vendor, or existing annotator through our referral programme.
  • Cookies and Analytics: When you browse the Platform (see Clause 10 on Cookies).

5. LEGAL BASIS FOR PROCESSING

Under the DPDP Act, 2023, we process your personal data on the following legal bases:

  • Consent: You provide free, informed, specific, and unambiguous consent at the point of registration. Sensitive Personal Data (caste, religion) is collected only with explicit, separate consent.
  • Contractual Necessity: Processing is necessary to perform your Freelance Contractor Agreement with us, including task assignment, quality assessment, and payment.
  • Legal Obligation: Processing of PAN and Aadhaar is required for TDS compliance under the Income Tax Act, 1961.
  • Legitimate Interest: Processing of platform usage data for quality assurance and the improvement of our Intent Preservation Engine, balanced against your privacy rights.

You may withdraw consent at any time by writing to contact@aisignallab.com or hiring@aisignallab.com. Withdrawal of consent does not affect the lawfulness of processing carried out before withdrawal.

6. HOW WE USE YOUR PERSONAL DATA

We use your personal data for the following purposes:

  • To verify your identity and process your registration on the Platform;
  • To assess your language proficiency and annotation skills through the CEFR/IPE assessment;
  • To match you to suitable annotation projects based on your language, skills, and demographic profile;
  • To process payments for completed tasks via bank transfer or UPI;
  • To deduct TDS and issue Form 16A in compliance with the Income Tax Act, 1961;
  • To measure the demographic diversity of our annotator network under the Representation Framework (using aggregated, anonymised data for reporting to enterprise clients);
  • To validate annotation quality through the Intent Preservation Engine (IPE);
  • To communicate task instructions, platform updates, and new opportunities;
  • To comply with applicable legal and regulatory obligations;
  • To detect and prevent fraud, misconduct, or misuse of the Platform.

We will never use your personal data for purposes incompatible with those stated above without obtaining fresh consent.

7. DATA SHARING AND DISCLOSURE

7.1 Who We Share With

We may share your personal data with the following categories of recipients:

  • Enterprise Clients (Anonymised Only): Demographic composition data for Representation Framework reporting is shared in aggregated, de-identified form only. Individual annotator identities are never disclosed to clients without your explicit consent.
  • Payment Processors / Banks: Bank account details and UPI IDs are shared with payment service providers solely for disbursement purposes.
  • Government Authorities: PAN and TDS data are shared with the Income Tax Department as required by law. We may disclose data to law enforcement or regulatory authorities if required by a valid legal order.
  • Technology and Infrastructure Providers: Cloud hosting, data storage, and platform vendors who process data on our behalf under strict data processing agreements.
  • NGO and Vendor Partners: Only your name and contact details may be shared with the referring partner organisation for the purposes of programme coordination, with your knowledge.

7.2 What We Never Share

  • We never sell your personal data to any third party.
  • We never share your Aadhaar number, bank account, or financial details with any party other than payment processors and tax authorities.
  • We never share your sensitive personal data (caste, religion) with clients or external parties without your explicit, separate consent.

After the applicable retention period, your data will be securely deleted or anonymised.

9. YOUR RIGHTS AS A DATA PRINCIPAL

Under the DPDP Act, 2023, you have the following rights with respect to your personal data:

  • Right to Access: You may request a summary of the personal data we hold about you and the purposes for which it is processed.
  • Right to Correction: You may request correction or update of inaccurate or incomplete personal data.
  • Right to Erasure: You may request deletion of your personal data where it is no longer necessary for the purposes for which it was collected, subject to legal retention obligations.
  • Right to Grievance Redressal: You may raise a complaint about the processing of your data with our Data Protection Officer.
  • Right to Nominate: You may nominate another individual to exercise your rights in the event of your death or incapacity.
  • Right to Withdraw Consent: You may withdraw consent for any processing based on consent at any time.

10. COOKIES AND TRACKING TECHNOLOGIES

10.1 Essential Cookies: Used to operate the Platform, maintain your session, and ensure security. These cannot be disabled.

10.2 Analytics Cookies: Used to understand how annotators interact with the Platform, which pages are visited, and how tasks are completed. We use anonymised analytics data to improve the Platform.

10.3 Preference Cookies: Used to remember your language and task preferences.

10.4 Opt-Out: You may disable non-essential cookies through your browser settings. Disabling essential cookies may affect Platform functionality.

11. DATA SECURITY

We implement the following technical and organisational measures to protect your personal data:

  • Encryption of data in transit (TLS/SSL) and at rest;
  • Role-based access controls - only authorised personnel can access personal data;
  • Regular security audits and vulnerability assessments;
  • Password policies and multi-factor authentication for internal systems;
  • Contractual data processing obligations imposed on all third-party vendors;
  • Incident response procedures - we will notify you and relevant authorities of a data breach within 72 hours of becoming aware of it, as required by law.

13. UPDATES TO THIS POLICY

We may update this Privacy Policy from time to time to reflect changes in our practices, the Platform, or applicable law. We will notify you of material changes by email or by a prominent notice on the Platform. Your continued use of the Platform after the effective date of any update constitutes your acceptance of the revised policy.
